Terms & Conditions

​Membership Access and Studio Entry

​

Upon signing and submitting the Registration/Waiver form, individuals are granted membership to the studio, contingent upon full compliance with these Terms and Conditions. Acceptance of membership is at the sole discretion of the Company.

The Company (Soma Movement Ltd ) reserves the right to suspend, revoke, or deny renewal of any membership if a member’s behavior is found to be disruptive, inappropriate, or inconsistent with the studio’s values, or if such action is considered to be in the best interest of other clients and the studio environment. Such behaviour may include, but is not limited to, aggressive or threatening conduct, verbal or physical abuse, or causing disruptions during Reformer Pilates sessions. Terminated members shall forfeit all remaining session credits or membership benefits without entitlement to a refund.

Should an unlimited session pass or membership be misused, such as by consistently failing to attend reserved sessions or booking without the intent to participate, the Company ( Soma Movement Ltd) reserves the right to cancel said membership without refund. In such cases, booking privileges will be revoked and any upcoming reservations cancelled.

 

Booking and Cancellation Policy

Booking Management:
All bookings and cancellations must be completed by the member via the studio’s designated online booking system.

Activation and Validity:
Session packages and individual sessions are activated on the date of purchase. Each option has a defined validity period, which must be observed by the member. It is the member’s sole responsibility to ensure sessions are used within the active period.

Non-Extendable Sessions:
Packages and session credits are non-extendable beyond their stated expiration, unless in exceptional medical circumstances as detailed below.

Extensions Due to Medical Conditions:
Should injury or illness prevent a member from attending, an extension may be granted at management’s discretion. A written medical certificate, dated from the time of the issue, must be provided. Extensions for chronic or recurring conditions may only be granted once per condition.

Introductory Offers:
Introductory offers are strictly limited to first-time clients. Individuals who have previously attended a class or currently hold a membership are not eligible.

Usage and Responsibility:
The Company is not liable for unused, expired, or misapplied session credits due to member oversight. Session credits are non-transferable and may not be shared.

Cancellations:
To avoid loss of credit, members must cancel sessions at least 12 hours in advance. Sessions cancelled after this period will be deducted from the member’s account and are non-refundable.

Email Requests:
Cancellations made via email are not guaranteed to be processed in time. Members should always use the online booking system to cancel or reschedule classes.

Waitlist Policy:
Members must hold valid session credits or payment to join a class waitlist. Waitlist reservations without payment will be removed.

Refunds:
The Company does not offer cash refunds for any sessions, packages, or missed classes.

Cancellations

Members must cancel any booked session no less than 12 hours prior to the scheduled start time in order to retain the session credit for future use. Cancellations made after this period will result in the session being forfeited and no refund will be issued.

Email Cancellations

Cancellation requests submitted via email are not guaranteed to be processed within the required timeframe. Members are therefore advised to manage all bookings and cancellations through the designated online booking system.

 

Waitlist Policy

To be added to a class waitlist, members must have valid credits or payment on their account. Entries without valid payment will be removed in order to maintain fairness and availability.

Refunds

All purchases are strictly non-refundable. No cash or credit refunds will be issued for any reason, including non-attendance or unused credits.

 

Payment Terms

Pricing Information

Current pricing for sessions, packages, and memberships can be found on the official website (www.somamovement.uk) or obtained directly from Soma Movement Studio. All prices are subject to change at the discretion of the Company.

 

Service Usage

Payments are applicable solely to services provided by Soma Movement Ltd. They do not extend to services offered by unaffiliated third-party Reformer Pilates studios.

 

Refund and Transfer Policy

Unless otherwise required by law, all payments—including but not limited to individual sessions, subscriptions, packages, and gift cards—are strictly non-refundable and non-transferable. Any exceptions will be expressly stated within these Terms and Conditions.

 

Monthly Subscription Agreements

Scope

This section applies specifically to members enrolled in recurring monthly unlimited membership plans (“Subscriptions”).

 

Payment Obligations

Subscription fees must be paid according to the agreed billing schedule and are due regardless of a member’s attendance or usage level.

Notification of Fee Changes

The Company will provide a minimum of 30 days’ written notice prior to implementing any changes to subscription pricing.

 

Minimum Commitment Period

Subscriptions are subject to an initial commitment period of either three (3) or twelve (12) months from the date of first payment (“Minimum Subscription Period”). No cancellations are permitted during this period.

 

Post-Term Cancellation

After the Minimum Subscription Period has ended, members may cancel their subscription by submitting written notice to the Studio Manager with a minimum of 30 days’ advance notice. Members remain liable for one additional billing cycle following notice.

Non-Transferability

Subscriptions are assigned to the individual member and may not be shared or transferred. Unauthorised use or sharing will result in immediate termination without refund.

Outstanding Fees

If a member fails to fulfil payment obligations or attempts to cancel during the Minimum Subscription Period, they will remain liable for the full outstanding balance. Cancellation of a direct debit or standing order does not constitute valid notice of termination.

​

Member Responsibility

It is the responsibility of the member to cancel any recurring payments (e.g., standing orders or direct debits) with their bank or financial institution. The Company is not liable for continued charges due to member oversight.

​

Authorisation for Charges

By providing payment details, the member authorises The Company to charge any outstanding fees to the registered payment method without the need for additional notice.

 

General Studio Conduct

Compliance

Members are expected to adhere to studio policies and follow reasonable instructions from staff to ensure a respectful and safe environment for all.

​

Updating Contact Information

It is the responsibility of each member to inform the Company in writing of any changes to their email or postal address. Communications sent to the last known address will be deemed received within five business days.

​

Right to Refuse Entry

The Company reserves the right to refuse entry or service to any individual at its sole discretion.

 

Third-Party Rights

No third party shall have rights under the Contracts (Rights of Third Parties) Act 1999 to enforce any clause within these Terms and Conditions.

​

Email Consent

By consenting to receive communications via email, members acknowledge associated risks and release the Company from liability for any resulting issues.

 

Limitation of Liability

Facilities and Equipment

The Company reserves the right to modify or withdraw any facility, class, or equipment without prior notice and shall not be held liable for any resulting unavailability.

​

Health and Safety

Members are solely responsible for ensuring they are medically and physically fit to participate in classes. All participation is undertaken at the member’s own risk.

​

Liability for Injury

The Company and its representatives shall not be held liable for any injury, illness, or fatality occurring during studio sessions, except in cases of proven negligence.

​

Personal Property

The Company accepts no responsibility for loss, theft, or damage to personal belongings brought onto studio premises.

 

Personal Items & Attire

Personal Belongings

Items brought into the studio are at the sole risk of the member.

​

Appropriate Dress

Members must wear appropriate activewear. Supportive garments such as sports bras are recommended. Shorts must be fitted and suitable for exercise.

​

Footwear

Shoes must be removed before entering the class areas. Grip socks are mandatory for hygiene and safety purposes and are available for purchase on-site.

​

Hygiene

Members are encouraged to bring personal towels and are required to sanitise equipment after use with materials provided by the studio.

 

Safety Protocols

Entrance and Exit

Members must use the designated studio entrance. Emergency exits must be kept clear at all times and may only be used during emergencies.

​

Fire Safety

In case of fire, members must evacuate the premises via the nearest available exit in a calm and orderly manner.

 

Foot Hygiene

Members with contagious foot conditions (e.g., verrucae) must not walk barefoot within the studio.

​

Animal Policy

Animals are not permitted on studio premises, with the exception of certified guide dogs.

​

Reformer Use

Each Reformer station is equipped with the necessary tools and cleaning supplies. Members are responsible for sanitising their station after use.

​

Sanitisation

Hand sanitiser is provided at the reception area and should be used upon arrival.

​

Age Restrictions

Participants must be at least 16 years of age to attend sessions conducted by Soma Reformer Pilates Studio.

 

Media & Photography Policy

Promotional Use

Soma Movement Ltd (Soma Reformer Pilates )reserves the right to photograph and film selected sessions for promotional purposes. By registering, members consent to the potential use of their image in marketing materials.

​

Concerns

Any concerns related to media use should be addressed directly with studio staff prior to or immediately following the session.

​

Personal Photography

Members may take photos for personal use or social media purposes, but must respect the privacy and personal space of other clients at all times.
